NoteKey, Privacy Policy

Effective date: August 15, 2026

NoteKey is a custom iPhone and iPad keyboard for clinicians, plus a companion app for managing its templates and snippets. This policy explains what the app handles, where it is stored, and who can see it. The short version:

We never log your keystrokes, and the keyboard never touches the internet. Nothing you type is transmitted anywhere, because the keyboard has no network capability at all. NoteKey has no servers holding your content, no user accounts, no analytics, no advertising and no tracking of any kind. We, the developers, have no way to see what you write.

What You Type

What you type is processed entirely on your device, in the moment, to produce autocorrections, template expansions and suggestions. It is not recorded, not stored as text, and not transmitted. This applies to everything you write in every app, including anything you write about the people you work with.

The keyboard extension has no networking code and links no networking frameworks. You can verify the behavior yourself: turn on Airplane Mode and the keyboard works identically, because it never had anything to send.

What Is Stored, and Where

The keyboard and the app share this through a private App Group container on your device, which is why the keyboard asks for Full Access. Full Access lets the keyboard read your own snippets and settings from that shared container. It does not grant, and NoteKey does not use, any ability to send what you type off the device.

iCloud Sync

If you turn it on, your snippets sync between your devices through your own private iCloud database (Apple CloudKit). That data is tied to your Apple Account, is encrypted by Apple, and is accessible only to you, not to us. Turning off iCloud for NoteKey in your device's iCloud settings stops the sync. Apple's handling of iCloud data is described in Apple's Privacy Policy.

Dictation

Dictation runs in the NoteKey app, not in the keyboard, and uses Apple's on-device speech recognition. Audio is never stored and never transmitted. Temporary audio is deleted as soon as a dictation finishes, including when it is interrupted. The resulting text is handed back to the keyboard through the same private container on your device and is removed after it is used or after a short expiry, whichever comes first.

NoteKey does not record sessions and is not built to transcribe anyone but the person holding the phone.

The One Request This App Makes

The companion app makes at most one network request, at most about once a month. It fetches a single shared setting that lets NoteKey take you straight back to the app you were typing in after you finish dictating.

That request carries no account, no device details and nothing you typed. It uses a temporary anonymous login that is deleted the same moment the request completes. The value it fetches is identical for every install, so it identifies nothing about you. The keyboard never makes this request or any other.

Purchases

NoteKey Pro is processed by Apple through the App Store. We never see your name, payment details or Apple Account information. The app stores only an anonymous entitlement status, whether Pro is unlocked, provided by Apple's StoreKit framework.

Not Clinical Advice

NoteKey is a typing tool. It does not diagnose, recommend treatment or provide dosing. Its templates are documentation scaffolds and contain no clinical advice. Clinical judgment, and responsibility for what ends up in a record, remain entirely yours.

Data Collection Summary

Deleting Your Data

Deleting the app removes everything stored on the device. To also remove synced snippets from your iCloud account, delete NoteKey's iCloud data in Settings, then your name, then iCloud, then Manage Account Storage.

Children's Privacy

NoteKey is a professional tool, is not directed at children, and collects no data from anyone, including children.

Changes to This Policy

If a future version of NoteKey changes how it handles data, this policy will be updated at this same address and the effective date above will change.
